Issue Management

]po[ Issue Management tracks issues, capture feature requests and customer complaints centrally (helpdesk) or decentralized (customers, developers, project managers, ...). Software developers can report and filter issues according to product line, priority, severity, version and assignment properties.

 

Gantt Charts

Use ]po[ to generate Gantt charts that helps you communicating your project. Besides native charts there's also an export/import interface to the Open Source product "GanttProject". Its drag-and-drop functionality allows you to conveniently reorganize tasks and import them back to ]po[.

 

Time sheet Management

The Time sheet management module keep track of the internal costs caused by staff and employees, as opposed to external costs caused by freelancers, providers etc.

 

Reporting (Project)

The ]project-open[ reporting module allows you to extract information from the ]po[ database in a similar way to other mainstream reporting packages.

 

Data Warehouse Time sheet Cube

This Pivot Table ('cube') is a kind of report that shows time sheet hours according to a number of 'dimensions' that you can specify. This cube effectively replaces a dozen of specific reports and allows you to 'drill down' into results.

 

Controlling

The integrated financial controlling in conjunction with the ]po[ Reports Module module allows checking profit & loss for projects and customers.

 

Resource Management

]project-open[ facilitates the resource planning process with reports showing assignments and utilization across all projects.

 

Workflow

]project-open[ includes a complete Petri-Net Workflow engine-editor combination that allows you to define and execute your own workflows around ]po[ business objects such as projects, customers, tasks, etc. The workflow engine is integrated with the general ]po[ GUI

 

Project Chat rooms

Project rooms are aware of the online presence of the team members, allowing all team members to chat simultaneously (online chat conference).

 

Project File Manager

Shared Filestorage provides a web interface to project files stored in a local file server, allowing to work employees in the main office to work with local files (using the MS-Windows explorer as always) while allowing project members access from the outside according to security privileges.

 

Expense and Travel Costs

The Travel Cost package provides an "employee self-service", allowing users to enter their project related costs (e.g. travel costs) themselves, saving money to the administration/HR department.

 

Project Management Methodology

Project templates are used to store and standardize frequently used project structures. For example, an "Analysis Template" may contain the standard tasks used during the project analysis phase of an IT consulting company. New projects can rapidly be created selecting several templates.

Skills Management

Skills represent capacities of employees and freelancers. The provider is allowed to maintain his own skills. However, all changes are subject of confirmation by in-house staff.

 

Project Planning

Manage an unlimited number of projects and tasks with as many sub-levels of hierarchy as you need. Projects can be structured in any level of sub projects and "project tasks". Projects and sub projects allow to assign access permissions to project members, while "project tasks" serve to track the project advance and to log the dedication of employees.

Risk Management

The Risk Management package provides a graphical risk chart that allows project managers and senior management to track the risks of the company's project portfolio throughout all phases of the lifecycle.

 

Project Completion Tracking

Project Tasks can be attributed with a financial value. This value together with the completion % of the task allow to calculate the ratio between spent resource and project progress, allowing the senior management to detect project deviations early in the project cycle.

Calendar

Stay up to date with a shared project calendar to manage meetings, deadlines etc.

CRM

The Customer Management Module ("CRM light") allows to capture and integrate all customer related activities of the company along the customer lifecycle.

Unified Customer File

All information about a customer are brought together on a single page, allowing account managers and senior managers a quick view about the status of a customer.

 

Customer contact management

Allows to store address information of customer employees and their companies. Associated structured discussion forums (discussions, news, tasks, incidents) allow to concentrate all activity related to the customer acquisition and management during the customer life cycle.


 

Key Accounts and Permission Management

Customer Management includes a fine-grain permission management for customers, probably the most valuable resource of a company. Permissions to see and edit customers and their employees ("contacts") are controlled by several "privileges" that can be flexibly assigned to user groups. In addition, you can assign permissions on a customer-by-customer base to "Key Account Managers", who gain read and write permissions to all information of their customers, but are in general not allow to see other customers.

Integrated customer interaction history

Online Web Registration

]project-open[ allows customers to register themselves via Web, for example in order to gain access to protected content on the web site such as downloads, white papers, etc. These customer registrations can provide the input Mass Mailings module via the following modules.

Customer Tracking and Classification

The customers movements on the web site together with the interaction history can be used to classify customers according to a number of user-extensible categories. This classification can serve as the input for Mass Mailings or other promotion activities.

Mass Mailings

This package allows you to send email messages to customers based on their classification according to categories or the customer status engine. You can track the results of the mailing using the Customer Tracking package.

Mail Server Integration

The Mail Server Integration package captures incoming emails from a mail server and associates them with email found in the system.

Reporting

The ]project-open[ reporting module allows you to extract information from the ]po[ database in a similar way to other mainstream reporting packages.

 

Cost-Center-Extension

The "Cost Center Extension" allows you to delegate the creation of quotes and purchase orders to operational departments while maintaining centralized financial control at your accounting department.

The module allows you to define financial permission per user, cost center and document type. For example, you can allow your project managers to create Purchase Orders for the vendors of the"Project Management" department.

The accounting department in turn would be able to create Customer Invoices and Provider Bills from the PM's documents.

Together, these permissions establish a workflow between decentralized operational departments and the centralized accounting, allowing for efficient processing of large volumes of financial documents.

 

Quoting/Invoicing

Invoicing is an important but also a comprehensive part of the administrative work in a consulting company. ]project-open[ offers different billing scenarios that help you saving money and time and that ensure that invoices got delivered in time.

 

Human Resource Management

Unified Employee File

The "employee file" brings together all information about an employee such as contact information, a list of projects he or she has worked in, previous experiences and payroll information access to these information requires a number of "privileges" which can be flexibility assigned to employees and employee groups. Additionally, there is special "public" information that allows an employee to present himself to the public. This public information is indexed by the ]po[ search engine.

 

Employee Payroll Information

Payroll captures all costs derived from staff employees. Payroll information is being used by the Time sheet Management module to calculate the real costs of employee participation in projects.

 

 

Knowledge Management

Forum

]project-open[ emphasizes the possibility to integrate clients and providers into the planning and execution of projects. However, communication across organizational boundaries requires special communication means (and skills!), because of the diverging interests, cultures etc. of the participating partners. The Task/Incident Tracker module formalizes the communication related to the distribute of work amongst project members. It allows to define clear responsibilities within a project and to hold project members accountable for the progress or their tasks.

 

Search Engine

The ]po[ FTI (Full-Text Search Engine) indexes all major objects in the system and allows users to retrieve them quickly and easily. Security is the first priority in ]po[ . So this FTI will present a user only those objects that are within the permission scope of the user.

 

Wiki

Every major ]po[ business object (Project, Customer, User, ...) is mapped to a ]po[ Wiki page, allowing for seamless integration between structured and unstructured information of a business object. Read, write and admin permissions can be assigned to all system user groups, including "The Public" (for use in public web sites) and "Registered Users" (any registered user), apart from the usual ]po[ user groups such as Employees, Project Mangers, ... ]po[ supports more than one Wiki per ]po[ system with potentially different permissions settings. So a company may setup a public "Marketing Wiki", but may maintain a second "Employee Wiki" for internal purposes only.

 

Incident Management

Many questions and issues coming up during a project require decisions from an appropriate person such as a Project Manager or a person from the customer's organization. These decision processes can be long running and/or involve people from different organizations. ]po[ allows to associate a workflow with a specific type of incident that that makes it easy to manage and track the incident during its lifecycle.

 

Portrait

]project-open[ improves the collaboration between employees in distributed offices by providing corporate "news" and a "portrait component" that facilitate communication within the company. These measures increase the knowledge about the members of distributed offices and lowers communication barriers.

Translation

Freelance Database

The Freelance Database contains a list of freelancers together with their "skills" and their "freelance files" (similar to employee files). This database is useful if your organization relies heavily participation of freelancers and contract worker such as translation agencies and certain IT organizations.

 

Translation Quality

A module specifically written for the needs of translation agencies to supervise the quality of their freelance resources

 

Unified Supplier File

All information about supplier companies are concentrate in the supplier file, containing the basic suppliers data such as contact information, the suppliers employees that had contact with our organization and who are allowed to log into ]project-open[ and optionally information about the quality delivered by the suppliers employees.

 

Operational

One-Time-Passwords

The "intranet-otp" package is used in ]project-open[ as an extension of the normal password-based authentication mechanism. OTPs allow in combination with (optional) SSL encryption for (reasonably) secure access to critical corporate resources even in untrustworthy environments and/or over untrustworthy channels.
